II. PERSONAL DATA
a) Purpose of the data collected:
The personal data collected is intended to contribute to the performance and delivery of services related to the activities carried out by Domus Rome (co-ownership, rental management, real estate transactions).
It is therefore a question of elements allowing the identification, the notification, the communication but also different types of action, such as those relating to the interventions to be carried out in the assets managed or even to the pre-litigation or the litigation, requiring the possession of information essential to the accomplishment of the missions entrusted to us.
b) Nature of the data collected:
To carry out our businesses in all their components, we are led to ask you in particular, in addition to your surname, first names, postal address, telephone and e-mail address, and depending on the activity concerned by our intervention, your family situation, your date and place of birth, your profession, your matrimonial regime, your status vis-à-vis the managed assets (owner, usufructuary, joint owner, etc.), your lot numbers and the directors' fees attached to them, the date of acquisition of the assets, the name and address of the notary and the contact details of the agent if applicable, …
Obtaining this data is justified by legal obligations, in particular article 32 of the decree of March 17, 1967, taken in application of the law of July 10, 1965 governing co-ownership requiring the trustee to establish and update a list of all co-owners and the information attached to it.
It is also for reasons of proper accomplishment of our missions or verification and control recommended by the intelligence service of the Ministry of the Economy, Finance, Action and Public Accounts, TRACFIN (Treatment of Intelligence and Action Against Financial and Clandestine Circuits).
Please note that in the event of refusal to communicate certain data other than those essential for identification, you may not be able to benefit from certain information or services.
c) Devices allowing the collection of data:
Personal data is collected by Domus Rome using a different procedure, depending on the activity concerned:
for the co-ownership syndicate management activity, this is mainly done when retrieving a mandate during the transfer of files, dematerialized or not, by the previous trustee or during a sale, on occasion of the notification of the latter by the Notary and on the basis of the information provided by the purchaser on the individual civil status file sent to him by Domus Rome at the same time as the welcome letter.
for the rental management activity, it is mainly done when a management mandate is entrusted to us, the owner being required to complete an information sheet and provide a certain number of supporting documents. The prospective tenant will also have to provide personal information, using forms to be completed. Requests for changes by post or email can also contribute to the collection of new data.
for the activity of real estate transactions, personal data is collected either during a request for an estimate, or from an information sheet submitted to the seller, when he entrusts Domus Rome with the sale of his property, as well as only to the purchaser, prior to the establishment and signature of the sales agreement.
d) Access to data:
internally, Domus Rome employees, depending on their functions, have access to personal data on different IT environments, always requiring a personal identifier and password.
externally, the co-owners have access to their personal data from the secure area of the Domus Rome website.
Details: in the context of the outsourcing of certain services, we are led to communicate data to third parties or to allow them access to it.
This concerns the sending of notices of general meetings and calls for funds, the various means of payment made available to our customers, the distribution of certain electronic messages, the conservation of "paper" archives as well as the management of their digitized version, the maintenance and IT developments of our management databases when they are outsourced.
These third parties were chosen to guarantee that they had properly organized the security and integrity of the data entrusted to them, in application of the General Data Protection Regulations, which each of us has acknowledged.
In addition, we are led to provide personal information (name, address, telephone, email address, for example) to the companies responsible for intervening in the common areas or the private areas to carry out repairs, maintenance work or repairs. 'improvement.
e) Request for rectification of data:
You can, at any time, request the rectification of your personal data, by mail to be sent to the Domus Rome agency managing your property or by e-mail to the employees of the company in charge of managing it.
The co-owners can also directly modify some of their personal data from the secure area.
f) Duration of data retention
They are kept throughout the services provided by Domus Rome and as much as necessary after the end of the latter, continuity of detention justified by the faculty given to Domus Rome to be able and to have to produce data for accounting, litigation, technical reasons, or to ensure our defense in court.
In this case of end of commercial relationship, they are then transferred to a dedicated computer database to which access is more restricted.

h) Data security
For those that are dematerialized, they are stored on our computer servers and benefit from specific protections, preventing any unauthorized access or any fraudulent use. With regard to secure payment, the information provided passes through the HSBC bank site for the sole purpose of the transaction carried out.
Data backup is performed regularly and backups are stored on media external to the environments where they are entered and accessed.
For the data collected on paper, they are kept in the Domus Rome branches then, depending on their nature, they are entrusted to the service provider in charge of legal archiving.
i) Commercial solicitations / communication :
Commercial solicitations, whether they concern the company Domus Rome or its partners, via the electronic addresses held, are only carried out subject to having obtained the consent of the recipients.
To this end, our co-owner customers are questioned and must validate their acceptance or refusal from the secure area of the Domus Rome website, by email or text message.
Communication for information purposes on the operation of the buildings, the works, or the services delivered in the real estate or lots managed will be made within the framework of the mandate entrusted to us (information notes, timetables, service restrictions, etc…) by using, if necessary, the email addresses or telephone numbers (calls or sms) of our customers that we have.
We can also operate the promotion of our activities and those of our subsidiaries or our partners by mail or telephone, from the contact details that we hold in our files.
III. COOKIES
The Domus Rome website does not currently use cookies or advertising trackers. We reserve the right to use them in order to improve the use of our site, subject to clearly announcing it.
Other types of cookies are on the other hand used but only for the technical exploitation of the sites.
